Our Privacy Policy describes how we collect and process your personal information
As an agency for Serviced Apartments we work with a large number of accommodation providers. We source apartments for people visiting London and other cities in United Kingdom, based on specific requirements and therefore need certain information.
We only ask for the information that is necessary to deal with your enquiry and booking reservation, such as your full name, address, gender, age, payment information, telephone number and email address. We also need to know name of city/town where you want to stay, total number of adults & children (under 12 years), type of apartment, arrival & departure date and daily/weekly budget. In some cases, we may also require names of all guests who will occupy the apartment/s. If an employer uses our service to book accommodation, we collect the information from them.
Citylife Apartments does not store your payment information. If you book an apartment with us, payment details are given to our providers so they can charge for the accommodation, as well as other services you have requested, such as airport transfer, theatre tickets, room service etc. This will be done by a secure online process.
The reasons we collect your personal data & what it’s used for:
- Providing you with apartment options via email
- Communicate with you about your requirements by phone and email
- Complete and administrate your reservation/booking
Your personal information is not shared, unless you request that we reserve your chosen accommodation. If you would like to proceed with a booking, we pass on relevant information to the accommodation provider so they can allocate an apartment for you. We keep a copy of the correspondence and details of your reservation to enable us to manage the booking process. The data is kept for up to 6 years for the purpose of auditing and to comply with UK regulatory bodies, including Her Majesty Revenue & Customs (HMRC).
If you have agreed when making an enquiry, we may send you marketing such as company information, newsletters, special promotions and discounted rates. We will also like to contact you after departure, to get a feedback about your stay and how providers can improve their products and services.
What personal information do we collect and information we share
We will only share your details with the relevant apartment provider for the purpose of making a reservation, extend a booking and/or give you information relevant to your booking and stay in the apartment. We may contact you to suggest alternatives, if the apartment you have booked for any reason (e.g. maintenance) is not suitable/available.
They will receive the following information:
- Your full name
- Address (security for payments and/or issuing invoices for corporate clients)
- Total number of occupants in the apartment/s
- Payment information
- Some providers may request your email address and a contact number for meet & greet check-in and we will seek your consent before disclosing the information
We will not share your personal information with other people, companies or third parties without your permission. Except if we need to assist in a legal claim, have the duty to disclose personal details to comply with UK legal obligations for prevention of fraud/illegal crimes or in the event of a merger/sale of all or part of our business, where personal information may be one of the assets transferred.
We continuously review and update the data on our website in accordance with legal requirements and best practices. We take every reasonable measure to ensure that your information is always protected and secure.
