Booking terms

Payment: Credit card details are required to secure an apartment. Outside of the period from 15th June to 15th September 2012, the provider require full pre-payment of accommodation and a security deposit upon arrival. During the period from 15 June to 20th July 2012 there is a minimum of 4 (four) weeks stay and one week non-refundable deposit is required at the time of booking in order to confirm the reservation. Full pre-payment of the balance is required 30 days prior to arrival date otherwise the booking will be released

Olympics Period: During the Olympics period (from 20th July up to 15 September) there is a minimum of 2 (two) weeks minimum stay and we require full prepayment (NON-REFUNDABLE) of accommodation rental in order to confirm the booking.

Credit card charges: outside the summer period your card will NOT be charged at the time of booking but simply used to guarantee the reservation. The card will only be charged if you fail to arrive at the apartment without prior cancellation (see cancellation policy below). Please note that payments made by credit/debit card attract a surcharge of 3.5% for American Express, 3% for Mastercard or Switch/Maestro and 2% for Visa. Payment with a debit card from a UK Bank will not attract any charges but all other debit card will be charged as above

Cards Accepted: American Express, Mastercard, Switch/Maestro, Visa.

Security Deposit: Please note that at check in the provider require a security/deposit which is usually an authorization on the guest credit card and this authorisation will be cancelled following settlement of any outstanding balance on your bill at check out and after an inventory check out has been made. An authorisation is NOT DEBITED from the cardholder’s account. The amount is held for a short period of time and is automatically cancelled. Please see charges below:

Cancellation Policy:

Outside of the period from 15th June to 15th September 2012:
Notification of cancellation is required 14 days prior to arrival. For bookings cancelled less than 14 days prior to arrival you would be liable for the full cost of the stay unless the apartment can be re-let. Once you have checked in you must give the provider 14 days notice in case of a reduction on your stay or the same policy will apply.

During the period from 15 June to 20th July 2012:
Notification of Cancellation is required 30 days prior to arrival date and subject to re-letting on a short notice. For bookings cancelled less than 30 days prior to arrival you would be liable for the full cost of the stay unless the apartment can be re-let.

Deposit:

Stays under 4 weeks: £100 holding deposit to secure the booking, which can be credited towards the full amount to be paid on arrival

For stays over 4 weeks and under 8 weeks: 1 week security deposit to secure the booking and for coverage of any possible damage for fear and tear during the stay

Stays over 8 weeks: 2 weeks security deposit to secure the booking and for coverage of any possible damage for wear and tear during the stay

Any deposit paid to secure a booking that is over 8 weeks will be non-refundable.

Tenant(s) do not have the right to use the security deposit as rent in whole or in part.

Cancellation policy:

All bookings cancelled within 2 weeks of the commencement date, will be non-refundable. All other cancellations which are over 2 weeks from the arrival date are refundable, but subject to a £50.00 cancellation fee. This can be used as credit towards any future booking made by the same client within 6 months of the cancellation, according to availability

In any cancellation after check in, a fee of £100 will be charged and rates will be increased according to the length of stay. For all payments by credit card there is a charge of 3.5%. For American Express the fee is 6%. There is no charge for debit cards. Diners card is not accepted.

Deposit: £250 including VAT is charged 7 days prior to the arrival to cover against damage to the apartment or its contents. This deposit will be refunded within 7 days at the end of rental period provided there are no claims. However, the amount does not limit any subsequent claim for loss or damages by the provider against the guest

Booking terms

RESERVATIONS
Reservations are only confirmed on receipt of credit card details. Diners card is not accepted. An advance payment of 1 week rent or full payment if less than a week is required 3 weeks prior to arrival date. The outstanding balance is payable on arrival. Firm dates of arrival and departure must be stated. Every endeavour will be made to accommodate guests wishing to extend their stay but no guarantee can be given.

CANCELLATIONS
The cancellation policy is that if notice of cancellation is received 3 weeks before commencement of stay, the deposit will be refunded, less a cancellation charge of 15% of total rental. Where less than 3 weeks notice is given, no refund will be made, unless the accommodation can be re-let

ARRIVALS & DEPARTURES
Apartments must be vacated by midday on day of departure. Late check out is only by arrangement. Arrivals before 9 am and after 6 pm must be arranged in advance. Apartments are not generally available for occupation until 2 pm. If you anticipate arriving early morning and prefer immediate access to your apartment, we suggest you book from the day prior to your arrival. Luggage can be left with reception.

BREAKAGES
An inventory will be made on the morning of the departure, and any damages or breakages will be charged to the occupier.

TELEPHONES
Local calls are charged at a rate of 0.80p per minute plus vat. International calls & calls to mobiles vary in price. Guests are asked to visit reception upon departure to settle their phone bills. Early morning departures are to visit reception the day before departure.

The Management reserve the right to vary the Terms & Conditions without prior notice in exceptional circumstances

SPECIAL INSTRUCTIONS: the building does NOT have a 24-hour reception. For guests checking in after 8pm an airport transfer is required at an additional cost and the chauffer will bring the keys for the apartment to the airport.

Flight details – flight number, name of airline, time of arrival and airport of arrival are required for all bookings. The company will also need a mobile number to contact guests to check if they are delayed.

For guests arriving by overland transport a mobile number is required.

RESERVATIONS
Reservations are only confirmed on receipt of credit card details (long number, expiry date & security code) 20% non refundable deposit is payable on booking, balance payable 28 days prior to arrival. Firm dates of arrival and departure must be stated.

CANCELLATIONS
If written cancellation is received at least 21 days before arrival date there will be an administration fee of 15% of the total rental. Where less than 21 days notice is given no refund will be made unless the accommodation can be re- let.

ARRIVALS & DEPARTURES
Apartments are not generally available for occupation until 2pm. If you anticipate arriving early morning and prefer immediate access to your apartment, we suggest you book from the day prior to your arrival. Luggage can be left with reception during office hours.

Out of hours arrivals
Arrivals before 9am and after 6pm (Mon – Fri) or anytime Sat & Sun must be arranged in advance. We strongly advise guests to reserve our car service so that apartment keys may be sent to avoid problems if travel to central London is delayed. Prices according to flight/travel details.

Apartments must be vacated by 11am on day of departure. Late check out is only by arrangement and chargeable.

Booking terms

Credit cards are required to secure a reservation. Your card will not be charged prior to arrival but used to guarantee your reservation. However the credit card will be charged if you do not arrive at the property without advising of a cancellation.

Full rental payment will be taken on arrival. Full payment will be taken on booking for all non-refundable offers. This will not be refundable or transferable should your travel plans change. The provider accept all major credit cards (American Express, Visa, Mastercard), and cash in GB Sterling. An Extra £20 per night is payable for the fourth person (over 12 years old)

Additional charges include:

Telephone calls: Telephone calls are charged separately. It is the guest’s responsibility to pay all telephone call charges incurred during their stay in an apartment.

Cleaning: The general cleaning is Monday to Saturday. Bedding is changed twice a week on allocated days. Towels will be changed as needed. Please re-use your towels if you can. Kitchen crockery will not be cleaned by the staff. You are provided with a dishwasher, soap and washing up utensils, please do use them. Please do not rely on the cleaning staff for this.

The provider expects the apartments to be left in a reasonable condition on departure. If, at our discretion, additional cleaning is required on departure, the cost of this cleaning will be charged as an additional charge. This includes any crockery or kitchenware and appliances. In addition, if an apartment is deemed unfit for occupation, the guest will be obliged to pay compensation to the apartment provider for loss of revenues in addition to the costs of cleaning and repair. The apartment provider reserves the right to charge £100 plus VAT (in addition to the general cleaning charges) for specialist cleaning to an apartment and/or its contents where smoking has taken place in a smoke free building

Damages: Damages to the apartment or contents caused by the guest must be paid in full. In the event of any breakages or damage discovered after the guest vacates, the provider will notify us by e-mail within 1 week of the guest’s departure, providing a detailed breakdown of the applicable charges and the cost of rectifying them. Where possible, photographic evidence will also be supplied. Inventories and condition reports can be provided at the beginning and at the end of the accommodation period if required at a cost of £50 plus VAT.

Terms & Conditions

Confirmation of booking: A booking may only be regarded as confirmed once the provider has receipt of the signed terms and conditions and/or credit card authorisation form and the guest has been issued a reservation form

Charges and Payments
1. Authorised credit facilities must be arranged with the provider prior to arrival.
2. All charges must be paid by the due date. If payments are not paid promptly the reservation will be deemed to be cancelled.
3. Please note that upon arrival, where payment has been made by credit card, apartment keys will only be issued on presentation of that card and verification made of its authenticity by completing and signing an appropriate credit card slip.
4. All reservations must be prepaid 14 days prior to arrival, unless previous credit facilities have been agreed.
5. Occupants are responsible for paying all their extras, including telephone, and the costs of repairs and replacement. Maid service, with a daily towel change, is included in the rental from Monday to Friday (excluding public holidays) together with a weekly linen change; extra linen changes are available on request at the cost of laundering the linen.

Cancellation Charges:

Any apartment nights cancelled within the period of 14 days prior to arrival will be charged at 100% of the contracted rate. Any apartment nights cancelled after arrival will be charged at 100% of the contracted rate. Refunds will only be given for the nights we are able to re-let the apartment. Guest acknowledges that the cancellation terms set out above represent a reasonable pre-estimate of the damages likely to be suffered by the provider in the event of cancellation or reduction and that they are not intended to operate as a penalty.

Early Check ins and Late Departures:

Apartments are available from 2pm on the day of arrival. Should you be arriving before this time and wish to guarantee access to your apartment, it may be necessary to pre-book the apartment from the night before, at the contracted rate. Similarly, should you wish to keep your apartment after 11am on the date of your departure, it may be necessary to book the apartment for that day.

Early check in and/or late departure may be available without cost, following liaison with the provider’s Manager and availability allowing. Please note this cannot be guaranteed and such decisions are at the discretion of the Manager.

Loss or Damage:

The provider will not be liable to the guest or any person claiming through the guest for any loss and or damage to personal items in the apartments or building. The guest also agrees to be responsible for any damage caused to the premises, fixtures and fittings during their stay

Credit card details are required and a deposit is taken to guarantee the booking. GBP100 per apartment for booking of less the 4 weeks or the equivalent of a full week’s rent per apartment for bookings of 4 weeks and more. This charge is non-refundable and will be deducted from the total bill on arrival.

Payment can be made by cash, travellers’ cheques, credit cards (Visa, MasterCard) or UK debit cards. Please note that payment by credit or debit card is subject to a surcharge of 3%.

Cancellation Policy:

Cancellation notice must be given in advance in a written form sent by fax or e-mail by the person who originally made the reservation. The provider cannot compensate for cancellations due to bad weather, illness, and changes in travel plans or travel delays. A travel insurance is therefore highly recommended.

Cancellation fee will be debited automatically from the credit card provided to secure the booking following a written cancellation notification. In case of “No Show” and/or in the case where no written notice for cancellation is given, the provider will automatically charge the full amount of the booking. The amount due will be debited from your credit card without prior notice.

Fee – specified below are the maximum penalties incurred in case of a cancellation. These are set in relation to the length of notice give; if circumstances allow a lower charge then the maximum will be taken, but this is entirely to the management discretion.

Bookings for 1 or 2 apartments for less than 5 weeks:

Cancellation more than 30 days prior to arrival: 100 GBP (non-refundable deposit)
Cancellation 29 to 15 days before arrival: 30% of the whole stay
Cancellation 14 to 4 days before arrival: 50% of the whole stay
No show or cancellation 3 days before arrival: whole stay charge

Bookings for more than 2 apartments or for more than 5 weeks:

Cancellation more than 30 days prior to arrival: 30% of the whole stay Cancellation 29 to 8 days
Before arrival: 50 % of the whole stay No show or cancellation 7 days before arrival: whole stay charge

Reducing the number of nights:

Over 15 days prior to arrival: 15 GBP/nigth (admin fee) 1 to 15 days prior to arrival: 1/3 of 1 night’s price/night

In the unlikely case where the provider has to cancel the reservation (for varying reasons from water damage to unscheduled building works) they will inform you and attempt to re-accommodate in a suitable accommodation of their own at a price equivalent to the original agreed. In any case they will not be held responsible for any extra costs the client bears over and above the original price agreed in securing alternative accommodation.

When re-accommodation is impossible the provider will issue a full refund to any payments made.
